About the Role
The Program Assistant will work in an NYC Department for the Aging-funded Older Adult Center, supporting daily operations and engaging with older adults through community-based cultural, educational, recreational, social, and intergenerational activities.
• Assist with office administrative tasks and daily Older Adult Center (OAC) operations.
• Enter program attendance, member information, and related data into VIVÉ accurately and in a timely manner.
• Conduct intake and registration for new members.
• Maintain, organize, and update required records, files, and program documentation under the supervision of the Center Director.
• Create flyers, announcements, and promotional materials for programs, activities, and special events.
• Photograph and assist with documenting programs, activities, and events as needed.
• Prepare written descriptions, summaries, and event recaps for program activities and reports.
• Answer phone calls, respond to inquiries, and provide accurate information and assistance to members, visitors, and community partners.
• Engage with members in a respectful, professional, and supportive manner.
• Assist the Center Program Supervisor with planning, preparing, and coordinating programs, activities, and special events.
• Any other duties assigned by the center director and President & CEO.
Requirements
Associate degree required; or at least two years of demonstrated experience working with older adults;
or an equivalent combination of education, training, and experience.
Proficiency with Microsoft Office, including Excel, as well as Canva, Adobe Acrobat, and other related software and programs.
Knowledge of issues affecting older adults is strongly preferred.
Current CPR/AED/First Aid certification required, or willingness to obtain certification within a specified timeframe.
Excellent interpersonal, verbal, and written communication skills.
Ability to work occasional weekends, as needed.
Bilingual in English and Chinese required.
